CRM pipeline

Definition

A CRM pipeline is the ordered set of stages a sales opportunity moves through from first contact to won or lost, giving a team one shared view of every open deal and what it needs to advance.

A pipeline models a sale as a sequence of stages — qualification, proposal, negotiation, closed — with every open deal sitting in exactly one of them. Each stage typically carries a win probability, so the pipeline doubles as a forecast: multiply each deal’s value by its stage probability and sum. The pipeline is where sales management actually happens: what is stuck, what is stale, what closes this quarter.

Why it matters

A pipeline is only as truthful as its stage definitions. If “Proposal” means whatever each rep wants it to mean, the forecast built on it is fiction. Mature teams enforce entry criteria — a deal cannot reach Proposal without an expected close date, or Negotiation without a quote on file — and track hygiene: deals that have not moved in weeks are decaying, not progressing. The buying question for any CRM is whether stage discipline is enforceable in the tool or just written in a wiki.

How pipelines work in Oneop

Teams design their own process: create stages, name them, set win probability and forecast category, mark which count as won or lost, color-code them, and drag them into order. Deals track value, stage, priority, source and expected close date, can be reassigned in bulk, and a pipeline-hygiene view surfaces opportunities going stale.

Stage discipline is enforced in code. Stage gates block a move until the deal meets the bar you set — “no deal reaches Proposal without an expected close date”, “none reaches Negotiation without a quote or a logged activity” — and a blocked move returns the specific list of what is missing rather than a generic error. Marking a deal Lost can be made to require a reason from a managed list, so loss analysis runs on structured data.

Around the pipeline sits the rest of the CRM: leads scored by rules and routed by territory, contacts with a 360° view and live duplicate detection, company hierarchies that roll subsidiaries up under a head office, and human-readable record numbers like DEAL-00042 allocated atomically so two simultaneous creates can never collide. Because Oneop is one system, the won deal connects to the same customer record that carries the invoice and the stock movement.
